There are a variety of measures that the company and organizer can take to prevent the spread of infection:

Before the meeting

• Inform participants to stay home if they are experiencing symptoms or have Covid-19
• Book activities in the local area to reduce travel distances and carpooling

During the meeting

• Hold meetings and activities outdoors -- this reduces the spread of infection and the fresh air comes as a bonus
• Ensure that the supplier:
  • Furnishes conference rooms to avoid crowding and ensure people do not sit too close together
  • Offers guests the opportunity to wash their hands with soap and water and provides hand sanitizer
  • Has enhanced cleaning routines in public areas, such as restrooms and contact surfaces
  • Has marked distances on the floor for queues, for example
