What Different Event Tools Are Available?

A growing number of different event tools and solutions for facilitating the management of events and conferences are appearing on the market. I will divide them into a few different areas of use to give a better overview of which parts of the event they support.

Participant Management

Eventbrite.com is by far the largest event tool on the market in this area. There are a number of smaller challengers that are interesting. One of them is zeguestlist.com which, in addition to participant management, also handles check-in of participants in an elegant way. There is also a provider called Guestlogic.se that also offers complete guest management for events and arrangements.

Project Management

There are few well-established systems on the market that are directly tailored for event project management. There are some that are more suited for larger meetings and congresses. The smaller meeting and event planner tends to use general project management tools, such as Basecamp. This type of solution is often good, but lacks important features that can be useful when managing events specifically. One such feature is that in so-called Gantt charts, which are often built into project management systems, you cannot set a project to start in the future. Which is the case in event planning where the execution may take place several months ahead. That is, being able to set an event with a start date and end date in the future.

Procurement

So far, good tools for this are lacking on the Swedish market. Many offer forms to fill in with a request, which they then review and match with suppliers. On the international market, there is Cvent.com.

Finding a good event tool is essential for creating a successful event. The time you save by working efficiently with all the administrative parts of the event will enable you to create that little extra that makes your event memorable.
