Event Checklist: The It-Never-Goes-As-Planned List

Running an event is - hands up - a fairly stressful affair. It requires good planning, a number of backup plans, and having thought through a few different scenarios that (however unlikely they may seem) could arise, and how you would handle them. It could be food that is delayed or incorrect, a speaker who has to cancel, or a room with far too few seats.

But regardless of how well you have planned your event, and how many backup plans you have up your sleeve, you can be sure that if you follow an event checklist that we have prepared below, you will admittedly not be able to conjure up a speaker, but you will avoid a number of small problems that can cause quite a bit of trouble:

Event checklist:

  • Stapler (double-check that it is loaded and works)
  • String
  • Rubber bands
  • Tape
  • Scissors
  • Adhesive putty or similar
  • Thumbtacks
  • Pens, paper, plastic sleeves
  • Ruler or measuring tape
  • Basic tools such as: screwdrivers, power drill, and hammer

Tip!

Prepare a small box that you can have ready for every event, so you only need to refill what is missing next time you organise a conference or kick-off instead of starting from scratch. If you are bringing a roll-up or other company materials, we recommend that you test setting up or assembling it before you leave, so you know that all parts work and are included.

Event checklist advanced level for those who want to be sure of everything:

  • First aid kit (you can get far with painkillers, plasters, rehydration salts, and wound cleaner)
  • Large bowl (for business cards, promotional items, crisps, or something else - bowls always seem to be in short supply at events or conferences)
  • Extension cables and power strips
  • Extra chargers for phone and laptop
  • Adapter for presenting with both Mac and PC
  • A "clicker" for advancing slides in a presentation
  • Extra light bulb, if you have conference materials that include lighting
